Terms and Conditions of Trio Travel LLC
Reservation and Payment Terms:
- A first initial deposit along with reservation information is required to secure your booking.
- Reservations must be made in your FULL NAME as it appears on your government-issued identification. Trio Travel LLC will not be responsible for incorrect information provided. Any name change fees incurred due to incorrect information will be the sole responsibility of the individual.
- After making your deposit, you are required to make monthly payments to maintain your booking. Failure to do so may result in cancellation of your reservation, with all previous payments forfeited. If you face financial difficulties, you must email us at info@triotravel.us to avoid cancellation.
- Reservations with no payments made after the first 60 days of booking will be canceled. It is your responsibility to ensure that your roommate, if any, is also making their monthly payments.
- All payments to Trio Travel LLC are non-refundable and non-transferable due to contractual obligations with resorts, airlines, and other vendors. Ensure your commitment to attend the event before making a payment. No exceptions to final payment dates. Failure to make the final payment by the due date will result in automatic cancellation and forfeiture of all monies paid.
Passport and Visa Requirements:
You are responsible for ensuring that you have the correct travel documents. Please verify with the relevant consulate(s) or visa agency whether any visas or passports are needed. Your passport must be valid for at least 6 months after your travel dates. Some countries may also require a full blank "VISA" page for stamping. The travel information provided applies to US citizens only. Non-US citizens should check with the consulate of their destination country for up-to-date entry requirements. Trio Travel LLC does not provide or validate travel requirements for non-US citizens. We strongly recommend that all cruise passengers carry a valid passport during their trip.
Travel Insurance:
Missing a vacation is unfortunate, but losing the money you paid for it is even worse. Therefore, we highly recommend purchasing travel insurance that provides coverage for trip cancellation, interruption, baggage loss, and more. It is your responsibility to select and purchase travel insurance for both domestic and international tours.
COVID-19 Waiver of Liability:
- COVID-19 is a highly contagious virus that can spread via person-to-person contact.
- Trio Travel LLC provides the best available information regarding the pandemic-protective policies and practices of vendors and suppliers in your travel itinerary.
- Suppliers and vendors may have their own policies to prevent the spread of COVID-19. Trio Travel LLC does not control these policies and understands they may change at any time.
- Trio Travel LLC is not responsible for enforcement of these policies, and travelers may refuse to abide by them.
- Travelers are responsible for knowing and adhering to the COVID-19 policies of all states and countries in their travel itinerary.
- Traveling may subject you to voluntary or involuntary quarantine either at home or in the traveled location(s).
- Trio Travel LLC is not liable for any changes in COVID-19 policies and regulations.
- With full awareness of the risks involved, you, for yourself and on behalf of your traveling companions, assume all risks of travel and release Trio Travel LLC from any liability, claims, or demands related to COVID-19.
- You agree to indemnify, defend, and hold harmless Trio Travel LLC from any claims, losses, or liabilities arising from or related to your use of Trio Travel LLC services or those of its suppliers and vendors.
Assumption of Risk: Travel involves inherent risks, including but not limited to personal injury, property damage, illness, and death. By booking with Trio Travel LLC, you acknowledge and assume all risks associated with your travel. Trio Travel LLC will not be held liable for any injury, loss, or damage resulting from your travel arrangements.
Photographic Release: By participating in any Trio Travel LLC event, you consent to being photographed or filmed. You grant Trio Travel LLC the right to use these images and recordings for promotional, marketing, or other business purposes without compensation.
Meals:
Meals are included as detailed in each itinerary, typically based on the hotel's or restaurant's buffet or set menu. Beverages are generally not included unless otherwise specified. Although Trio Travel LLC cannot guarantee special dietary accommodations, we will make every effort to meet requests submitted in writing at least 4 weeks prior to departure at info@triotravel.us.
Shuttle Transfers:
Transfers are provided for each tour by car, minibus, or motor coach, as long as airfare is purchased through Trio Travel LLC. If you book a land-only tour or if your arrival and/or departure dates differ from those in the itinerary, you will need to arrange your own transfer to the hotel. Your arrival transfer is guaranteed for up to two hours from your scheduled arrival time to account for minor delays. Trio Travel LLC or the transfer company will not be responsible for flight delays exceeding two hours from your originally scheduled arrival time. In the event of significant delays due to flight issues, immigration, customs, or baggage claims, you will be responsible for arranging alternative transportation, such as a taxi. Transfer costs are non-refundable, and any additional expenses incurred will be your responsibility.
Group Harmony: To maintain a positive group dynamic, Trio Travel LLC reserves the right to accept, reject, or remove any individual(s) who are deemed disruptive or not aligned with the interests of the group. This includes individuals whose behavior negatively impacts the overall experience of the group. This includes, but is not limited to, individuals who are intoxicated or under the influence of drugs, or causing a negative experience for the rest of the group. Any expenses incurred due to such actions, including cancellation fees or costs for alternate travel plans or returning home, will be the responsibility of the passenger. All unused services are non-refundable.
Other Terms:
- Trio Travel LLC reserves the right to refuse any person as a tour participant and to make changes in any itinerary as necessary for the comfort, safety, or convenience of the group.
- All rooms booked will be non-smoking unless otherwise noted. Trio Travel LLC is not responsible for time changes made by airlines, bus conductors, or railways. Flight times and seat assignments are at the discretion of the airlines. Hotel room locations are at the discretion of the hotel.
- Baggage fees are not included in package prices and must be paid directly to the airline.
- Trio Travel LLC will attempt to accommodate the special needs of disabled travelers but will not be liable for any denial of services by carriers, hotels, restaurants, or other suppliers. Disabled travelers must be accompanied by a qualified and physically able companion who will assume full responsibility for their well-being.
- Passports are required for all international travel. Passports must be valid for at least 6 months beyond the trip's conclusion. Airlines require passport information 60 days before travel.
- For group cruises, a certified birth certificate and government-issued identification are acceptable. A hospital record is not a birth certificate. Information on obtaining a passport is available at: https://travel.state.gov/content/travel/en/passports.html/passport_1738.html.
- Trio Travel LLC is not responsible for personal injury, property damage, or other loss caused by independent suppliers. Trio Travel LLC assumes no responsibility for wrongful or negligent acts or omissions of suppliers, their employees, or any other party not under the control of Trio Travel LLC.
